Acceptable Use Policy

This document is not yet in effect. It takes effect on 17 August 2026. Until then, the current Acceptable Use Policy applies.
This Acceptable Use Policy (AUP) forms part of our Terms of Service. Words defined in the Terms of Service — such as User, Pilot, Owner, VA Staff, Virtual Airline (VA), Services and Team vAMSYS — have the same meaning here.
§1 Purpose and who this applies to
This AUP sets out the rules for what you may and may not do on the Services. It is the authoritative document on acceptable use: the Terms of Service summarise these rules, but this AUP governs in full (see the Terms of Service §8.1).
It applies to everyone — every User, whether you are a Pilot, VA Staff or an Owner. The same rules apply to all of you.
This AUP forms part of the Terms of Service, so a breach of this AUP is a breach of the Terms.
Where this AUP reaches. This AUP applies to your conduct on the Services. It also applies to your conduct off the platform — for example, on a VA's own Discord server, or through other external services — where that conduct targets vAMSYS Users or Team vAMSYS, or threatens the safety, security or integrity of the platform. We do not police a VA's own community generally, but conduct that reaches into vAMSYS in these ways is within this AUP wherever it happens (see §11).
§2 Illegal content and priority offences
You must not upload, share, post or link to illegal content, or to content that amounts to a priority offence. This is the most serious category of prohibited content, and we treat it as a priority.
You must also not use the Services to plan, recruit for, coordinate or facilitate any illegal activity, whether that activity takes place on or off the Services.
How to report it. Anyone can report illegal content, or other content or conduct concerns, by emailing help@vamsys.co.uk. We acknowledge and assess valid reports promptly. See the Terms of Service §7.2 (Illegal content and reporting (online safety)) for how this works.
§3 Content standards
We keep vAMSYS a clean, professional and broadly family-friendly hobby community. Beyond the illegal content covered in §2, you must not post, share or link to:
sexual or adult content;
hate or discriminatory content;
harassment, bullying or threats;
graphic violence; or
extremist or terrorist content.
This is about keeping the place civil and welcoming. It is not a rule against ordinary, civil discussion — you can disagree, debate and have a personality. Keep it professional and respectful, and you will be fine.
§4 Respect for others
Treat other people with respect. You must not:
harass, bully, threaten or abuse another User, a VA, or Team vAMSYS;
direct hate or discrimination at anyone; or
doxx anyone, or publish another person's private information (such as their address, contact details, or other personal information) without their consent.
This applies to how you treat Pilots, VA Staff, Owners and Team vAMSYS alike.
§5 Account integrity
Your account must be genuinely yours, and yours alone:
One account per person. You may hold only one User account, and you must not create, hold or operate more than one (see the Terms of Service §3.4).
Your real name. You must register using your real, full first and last name, and you must not use a false or borrowed identity (see the Terms of Service §3.1 (Registering) and §3.2 (Your name, and how we review it)).
Keep it to yourself. You must not share your account, your password or your other login credentials with anyone else.
No evading restrictions. You must not create another account, or otherwise act, to get around a suspension, restriction or ban.
§6 Honesty
Be honest about who you are and what you are doing. You must not:
impersonate anyone — whether a person, a VA, a real organisation, or vAMSYS or Team vAMSYS;
use the Services for fraud, scams or deception of any kind; or
knowingly make false or malicious statements about vAMSYS or Team vAMSYS, or falsely claim association with us, intended to deceive others or to damage the Services or their users.
Honest criticism, genuine reviews and good-faith complaints are always fine — this rule is about deliberate falsehoods and bad-faith deception, not about expressing a negative opinion.
§7 Other users' data and privacy
Other Users' personal data is not yours to take. This rule matters and we enforce it.
No harvesting. You must not scrape, harvest, copy or compile other Users' or Pilots' personal data — including their emails, names or contact details — whether by hand or by automated means.
Operate the VA, nothing more. If you run a VA, you must not use Pilot data for marketing, or for any purpose beyond operating the VA, except through vAMSYS's consented marketing-export facility.
Respect the boundaries. You must respect the data boundaries and the API rules. See the Terms of Service §11.2 (How a VA may use Pilot data) and the Virtual Airline Owner Terms §6 (API Terms).
§8 Security and technical abuse
You must not attack, probe or abuse the Services. In particular, you must not:
attempt to break, probe, overload, disrupt or gain unauthorised access to the Services or any part of them, or to any account, system or data;
reverse-engineer the Services, introduce malware, or bypass our security measures or rate limits;
use unauthorised automated access (such as bots or scrapers) against the Services.
If you use either API, you must respect the API Terms and rate limits in the Virtual Airline Owner Terms §6 (API Terms).
§9 Spam and misuse of communications
You must not misuse the platform's communications. In particular, you must not send spam, bulk unsolicited messages, or phishing of any kind.
§10 Intellectual property and third-party rights
Post only content you have the right to post. You must not:
post, share or link to content that you do not have the rights to use; or
post content that infringes anyone else's intellectual property or other rights.
You are responsible for your own content and for having the rights to it. See the Terms of Service §6 (Your content). If you are an Owner, your responsibility and warranty for your VA's names and branding are in the Virtual Airline Owner Terms §2.8 (Your responsibility for your VA's names and branding).
If you believe content on the Services infringes your rights, please report it — see the Terms of Service §7.3 (Reporting infringement (takedown), and counter-notice).
§11 Off-platform conduct
This AUP is not limited to what you do on the Services. It also applies to your conduct off the platform — for example, on a VA's own Discord server or through other external services — where that conduct:
targets vAMSYS Users or Team vAMSYS; or
threatens the safety, security or integrity of the platform.
Where off-platform conduct reaches into vAMSYS in one of these ways, we may act on it under §12, even though it did not take place on the Services. We do not otherwise police a VA's own community or its external services (see the Terms of Service §7.4 (A VA's own external services)).
§12 What happens if you break these rules
A breach of this AUP is a breach of the Terms of Service. Where you breach this AUP, we may act under the enforcement provisions of the Terms of Service §8 (Suspension, restriction and enforcement) — and, for a paying VA, under the Virtual Airline Owner Terms §3.13 (Ending your subscription: for-cause and no-fault termination).
We enforce this AUP at our discretion: we are not obliged to act on every report or every breach, we may act differently in different cases, and choosing not to act in one case does not stop us acting in another or set any precedent (see the Terms of Service §8.2). This does not affect what the law requires us to do about illegal content (the Terms of Service §7.2).
This AUP sets out the conduct rules; the consequences live in those provisions, and we do not repeat them here. Enforcement decisions are made by Team vAMSYS — a real person, on review — with the safeguards set out in the Terms of Service §8.3 (Notice, and your right to human review), including your right to ask for human review.
§13 Reporting a problem
If you come across a breach of this AUP, illegal content, or abuse, please tell us. Email help@vamsys.co.uk with the details, and we will acknowledge and assess valid reports promptly.
You must not knowingly file false, frivolous or malicious reports. Misusing the reporting system to harm, harass or falsely accuse another User is itself a breach of this AUP.

§14 Changes to this Policy
We may update this AUP from time to time. Where a change materially and adversely affects you, we follow the change process in the Terms of Service §13.1 (Changes to these Terms); other changes take effect when we update the 'Last updated' date above.
